Phone and email bookings are card-not-present, and they price accordingly. Most properties never had the difference explained, so they simply absorb it.

The honest answer

Will guests mind the card price?

Guests read a folio line by line at checkout, and anything unexplained becomes a conversation at the desk with a queue forming behind it. Shown at the point of booking, it rarely comes up at all.

It has to appear at booking

Both prices belong on the rate quote, the reservation confirmation, and the event contract. A guest who agreed to the card rate when they booked does not argue about it on the way out, and your desk staff are not defending it at seven in the morning.

Events are a different conversation

A wedding contract is negotiated over months, so both prices go into it with everything else. Clients settling a five-figure balance will compare both numbers, and some will move to a bank transfer, which costs you less anyway. Deposits collected more than a year before the date are a separate problem, covered below.

Not every property should run it

A property competing on a rate displayed by an online travel agent may not want a second number anywhere near that listing. That is a reasonable call, and we will price you traditionally from the same statement so the comparison is honest.

A message the day after a stay or an event, while it is still fresh. Properties are chosen on a star rating, and the guests who had a genuinely good time are the least likely to write about it unprompted.

Final headcount, arrival times, and balance due sent on a schedule ahead of the event. Most of what goes wrong on an event night was information nobody chased two weeks earlier.

Frequently asked questions

We take deposits two years out for weddings. Is that a problem?

Yes, and it is better to know now. Payments collected more than twelve months before the event are not boardable, so a deposit taken that far ahead cannot be run as a card sale. Inside twelve months is fine. For longer bookings the usual answer is a check or bank transfer up front, then card once the date is in range.

Can we switch mid-season without taking the front desk down?

Yes, and the sequence matters more than the calendar. We board the account, stage the terminals, and cut over after a night audit so the day closes on one system and opens on the other. If you have a wedding booked that week, we schedule around it rather than through it.

How does dual pricing work on a folio with charges from four outlets?

Each outlet posts at both prices and the folio settles at whichever applies to how the guest pays. Because the total is worked out at settlement, nothing is added at the end and your desk is not adjusting a line by hand. Both prices do need to be posted at booking and at each outlet.

Our property management system is old and we are not replacing it. Does that rule us out?

Not usually. Tell us the system and the version before you sign and we will confirm what connects and what stays manual. Some older systems accept an integrated terminal, some will only work alongside one, and it is better to learn which you have while you can still walk away.

Will this stop chargebacks from guests who dispute a room charge?

No. Cleaner records improve your odds, and we can make sure the authorization and the settlement are captured properly, but a dispute is decided on the signed folio, the contract, and your cancellation policy. If that policy is not written down and signed, the payment setup will not rescue it.

Why do phone reservations cost more to process than payments at the desk?

Because a keyed card carries more risk than one that was dipped or tapped, and the card networks price that difference. You can narrow the gap by capturing address and security code details at the time of booking. It will not match card present pricing, and anyone telling you otherwise is guessing.
